Cooperation and Communication

Partnership Management was organized & acted in order to ensure the achievement of project results and the accuracy of procedures.

Management Plan

A Project Management Committee (PMC) was established at the beginning of the project as well as Working Groups (WG) and Local Committees. PMC consisted of 2 contact persons (1 member of Management/academic/library staff and 1 Admin staff who were directly involved in activities. PMC- the decision making body for the Consortium was responsible for:

  • Control of the administrative and methodological aspects of the project. Monitoring and evaluation of project phases including communication regarding expectations of partners and stakeholders & with declared objectives.
  • Intervention for problem solving & Conflict Resolution.

Permanent and effective Communication and Reporting

The Coordinator of the PMC (LIT) ensured that project objectives were clearly highlighted and met and implemented procedures for efficiency of the project. PMC conducted coordination meetings, once a year, 4 days every year and conducted monthly management meetings (Web Conferencing). The PMC steered the project & intervened as necessary to readjust the project to the context, ensured consistent communication between partners & the organization of Committee meetings. WG’s were formed to ensure that the specific roles and tasks were distributed effectively as follows:

  • Didactic and Scientific Working Group (DSWG)
  • Library Training Working Group (LTWG)
  • Online Module Working Group (OMWG)
  • Evaluation Working Group (EWG)

Working Groups meetings

Each WG met 3 times – once per year – some via Web meetings and reported to the PMC via the Chairs of WGs. Local activities of partner universities & nonacademic/society partners (e.g. exchange of information, training, equipment etc.) were supported by the contact person for EU/PC partner. The contact person championed & highlighted project objectives & coordinated human resources for the success for the project. WG’s ensured the various components of the project- management, development, quality control etc. were followed through effectively. Roles, methods etc. were defined by Consortium Agreement.

Each partner was represented (2 persons) on each WG & the PMC of the project. Tasks were distributed equally and fairly: Distribution of tasks (WP’s) as follows:

  • UTBV: Lead Preparation WP.
  • TPG: Lead Didactic & Scientific Organization WP
  • UOC & UTBV: LNSS Curriculum Training, piloting, policy
  • LIT: Lead Online Module WP
  • UOC: Lead Quality WP
  • KBBI with TPG: Lead Dissemination + Exploitation:
  • LIT: Management WP.

Activities

The LNSS project commenced with the Project Kick Off- PMC meeting held in Brasov, Romania (originally planned for LIT) in early 2016 where criteria & procedures for communications between partners, management & decision making structures & the functions of the Working Groups, contact persons, Local Commitees, Library Access Liaison Librarian & local project coordinators were agreed. PC’s participated in each WG + form, local committee structures, to ensure the Dissemination & Exploitation of project results & the implementation of project initiatives in WB universities & in Society. PC’ contributed to the design & delivery of each stage of the LNSS Curriculum- Design, Training, Piloting, Evaluation.
